General
These general terms and conditions apply exclusively to students who are registered on our website www.flowently.com.
Intake, Language Level Test and Needs Analysis, Exams
A Flowently course starts with a free online intake, a language level test, and a needs analysis. Together with the student, we create a personalized learning program. A course may be concluded with a test and a Flowently Certificate. Flowently can prepare students for the Civic Integration (Inburgering) and NT2 exams, as well as possible exams in other languages.
Flowently Sessions and Packages
Flowently sessions and packages are valid for one (1) year, are personal, and cannot be cancelled or transferred to another person. The student is responsible for checking the package expiration date, which is clearly visible in the student’s account. Flowently is not liable in any way for expired credits, hours, sessions, or packages.
Flowently Tutors and Availability
Flowently tutors are language experts, professionals, and university students who are trained in the Flowently method to help students improve their language skills. The tutor availability is shown globally on the website and is communicated in detail and agreed upon jointly by the student and the tutor together. Flowently asks students to book sessions online at least 48 hours in advance, for both live and online sessions. Our tutors have busy schedules. If a tutor is no longer available, Flowently will propose an alternative tutor. Tutors are never exclusive, and no refunds will be given if a specific tutor is no longer available. In the case of replacement live sessions, Flowently will work together with the student to find a suitable solution.
Cancellation Policy
The student has the right to cancel an online booked session free of charge up to 24 hours before the start of the session. The Flowently credits paid for the session will be automatically refunded to the student’s Flowently account. After this period, or if the session has already started, verbal cancellation is possible, but no refund will be issued. If the tutor cancels a session, the student will always receive a full refund.
Additional Costs
The student is responsible for purchasing their own study books and teaching materials provided by Flowently. All additional costs related to sessions, such as drinks, food, and tickets for both the student and the tutor, are borne by the student.

All educational materials published and provided by Flowently are subject to copyright and may not be used or duplicated for commercial purposes, in whole or in part, without prior written permission from Flowently.
Website and Included Third-Party Websites
Flowently is responsible for ensuring proper accessibility of its website. In the event of any issues, Flowently will resolve them as soon as possible and inform students if necessary. Flowently is not liable for the accessibility of third-party websites or the accuracy of the information they contain.
Warranty and Liability
Flowently sessions can only take place after an online booking via the Flowently website. A verbal agreement does not constitute a booked session. Flowently is not liable for a student’s failure to achieve their learning objectives. Flowently is bound solely by an obligation of best efforts. Flowently monitors the quality of sessions through an evaluation system: after each session, the student automatically receives an evaluation request by email. This feedback is used to improve session quality and to resolve potential issues. Reviews appear directly on the tutor’s profile on the website. Flowently is not liable for loss, theft, or damage to personal belongings that students bring to sessions or to locations where sessions take place.

General
These general terms and conditions apply exclusively to companies that purchase language training from Flowently.
Intake, Language Level Test and Needs Analysis, Exams
A Flowently course starts with an online intake, a language level test, and a needs analysis. In consultation with the company, a tailor-made learning program is created. A course may be concluded with a test and a Flowently Certificate. Flowently can prepare students for the Civic Integration (Inburgering) and NT2 exams, as well as possible exams in other languages.
Company Group Training
The course and/or lessons — on-site or online — are provided on the days and times agreed upon by the company and Flowently. Lessons cannot be postponed, except in exceptional cases and only in consultation with Flowently. Lessons that fall on a national public holiday will be rescheduled to another date in mutual agreement. In the interest of course quality and participants, Flowently may split or merge groups, always in consultation with the company.
Company Trainers
Flowently company trainers are qualified and experienced language trainers who are familiar with the Flowently method. We strive to keep trainer changes to a minimum. If a change of trainer becomes necessary due to circumstances, Flowently will provide a suitable replacement.
Evaluations
Three weeks after the start of a company training, we kindly request a brief interim evaluation from HR: is the trainer on the right track with this group, or are adjustments needed? At the end of the course, we welcome a comprehensive evaluation and will schedule a follow-up meeting with HR.
Attendance Lists
If desired, our language trainers will keep a detailed weekly attendance list for their group of participants, which can be shared with HR.
Pricing
The quoted rate remains valid for three (3) months from the date of the offer. After this period, the course may be subject to a price increase. An annual indexation applies. Our language training services are exempt from VAT. If the training takes place on-site at the company’s location, travel costs for the trainer will be charged. Teaching materials are invoiced separately.
Payment Terms
For companies, a payment term of 30 days from the invoice date applies. Payment must be made by bank transfer to the Flowently bank account as stated on the invoice. If payment is not received on time, a payment reminder will be sent, requesting payment within 14 days. If payment is still outstanding after this period, Flowently is entitled to charge statutory interest on the outstanding amount, and extrajudicial collection costs. These collection costs amount to a maximum of 15% on outstanding amounts up to €2,500, 10% on the next €2,500 and 5% on the following €5,000 with a minimum of €40.
Data Protection
Student data is stored in Flowently’s internal systems in accordance with applicable legal regulations and is not shared with third parties.

Flowently Complaints Procedure
- Purpose of This Complaints Procedure
The purpose of this complaints procedure is to ensure that complaints from students are handled in a careful, transparent, and fair manner. Flowently aims to resolve complaints as quickly as possible and to continuously improve the quality of its education and services. This procedure is established in accordance with the principles of Dutch law, including: due care, reasonableness and fairness, the right to be heard. - What Is a Complaint?
A complaint is any written expression of dissatisfaction relating to: lessons or educational content, a teacher or tutor, organization or communication, administrative or financial matters. - Informal Resolution (First Step)
Students are encouraged to first discuss their complaint informally, preferably with: the relevant teacher or tutor, or the administrative staff of Flowently. Many complaints can be resolved quickly and amicably at this stage. - Submitting a Formal Complaint
If an informal resolution does not lead to a satisfactory outcome, the student may submit a formal complaint.
4.1 How to Submit a Complaint
A complaint must be submitted in writing (by email or letter) and be clear and well-founded. The complaint should preferably include: the student’s name and contact details, the date of submission, a clear description of the complaint, relevant dates, facts, and persons involved, the desired outcome (if applicable).
- Acknowledgement of Receipt
Flowently will confirm receipt of the complaint in writing within 7 working days. - Handling of the Complaint
The complaint will be carefully investigated by an authorized staff member or complaints officer. If necessary, all parties involved will be heard, in accordance with the principle of hearing both sides. Flowently will act independently, objectively, and confidentially. - Timeframe for Handling
Flowently aims to provide a substantive response within 4 weeks of receipt. If more time is required, the student will be informed in a timely manner, including the reason and the expected timeframe. - Outcome and Decision
The student will receive a written and reasoned decision, stating whether the complaint is upheld, partially upheld, or rejected and any measures that may be taken as a result. - Confidentiality and Privacy
All complaints are handled confidentially. Personal data is processed in accordance with the General Data Protection Regulation (GDPR) and used solely for the purpose of handling the complaint. - External Dispute Resolution
If the student does not agree with the outcome of the complaint procedure, they may submit the dispute to an independent dispute resolution body (if applicable), or bring the dispute before the competent Dutch court, in accordance with Dutch law. - Applicable Law
This complaints procedure is governed by Dutch law. - Final Provision
This complaints procedure is publicly available and may be amended by Flowently if required by changes in legislation or regulations.
